Job Description

Job Title: Patient Services Representative

Location: New York, NY 10003

Schedule: Monday – Friday, 8:00 AM – 5:15 PM 

Hours per Week: 37.5

Hours per Day: 7.5

Position Overview:

The Patient Services Representative plays a key administrative and customer service role in a clinical setting. This position supports patients and the healthcare team by performing front-desk duties, registration, appointment scheduling, insurance verification, and basic billing support while maintaining a high level of patient satisfaction.

Responsibilities:

Clinical/Administrative Support:

  • Register and update patient information in clinical and billing systems (Eagle, IDX).

  • Schedule appointments and ancillary services using IDX and other internal systems.

  • Make reminder calls and handle no-show notifications; print and distribute appointment schedules.

  • Collect patient payments including co-pays, match to charges, and process deposits in coordination with billing.

  • Perform accurate charge entry and assign ICD-9-CM or CPT-4 codes into systems.

  • Monitor and maintain clerical supplies inventory.

  • Process managed care referrals.

  • Reconcile daily collections and ensure deposits are properly documented.

Customer Service & Communication:

  • Greet and check-in patients, providing assistance with forms and general information.

  • Monitor patient flow and maintain communication with patients and staff regarding wait times or delays.

  • Resolve or escalate complex billing and scheduling issues.

  • Ensure compliance with insurance and billing guidelines.

  • Assist patients with transportation coordination and follow-up information as needed.

  • Maintain effective, courteous communication with patients, families, and staff.

Team & Support Functions:

  • Assist in training and orienting new or temporary staff.

  • Perform clerical duties such as filing, mail distribution, and lab result tracking.

  • Participate in departmental customer service initiatives and improvements.

  • Support data collection or research-related clerical tasks when needed.

Required Skills & Qualifications:
  • High School Diploma or equivalent required.

  • 1+ year of experience in a medical office, hospital, or clinical environment.

  • Working knowledge of medical terminology and insurance guidelines.

  • Experience with IDX and Eagle systems preferred.

  • Basic coding knowledge (CPT-4 and ICD-9-CM).

  • Typing speed of 25–35 WPM with high accuracy.

  • Strong interpersonal and communication skills.

  • Ability to multitask in a fast-paced, patient-facing environment.

  • Detail-oriented with sound problem-solving skills.

  • Demonstrated ability to manage sensitive patient information confidentially.
