Job Description

Position Summary

The recruiter/hr assistant is responsible for the full-cycle recruitment of janitorial and facility service staff across multiple regions. This role focuses on attracting high-quality applicants through strategic job postings, proactive recruiting, and responsive communication, ensuring that all open positions are filled efficiently and in compliance with company and legal standards.

 

Key Responsibilities

Active Recruiting

  • Create and manage captivating, high-target job ads for all open janitorial positions.
  • Post and sponsor jobs on platforms such as Indeed to increase applicant flow.
  • Actively monitor job boards and recruitment systems to ensure postings are current and optimized.
  • Sort through incoming applications using Team Engine and Excel tracking tools to identify qualified candidates and eliminate unqualified or repeat applicants.
  • Maintain an up-to-date applicant list (rolling 30 days) for quick access to potential hires.
  • Ensure all applicant communications are handled within 2 business hours to maintain engagement and professionalism.

Interview Coordination

  • Schedule and confirm interviews for remote and in-person applicants, coordinating with Area Managers as needed.
  • Manage the scheduling logistics for specific regions (e.g., Bristol and Kingsport ) including location and time coordination.
  • Follow up with candidates and managers to confirm interview outcomes and next steps.

Hiring and Onboarding

  • Conduct and manage background checks for all prospective employees.
  • Implement and uphold all hiring practices and compliance requirements , ensuring that the recruitment process continues smoothly even when management is unavailable.
  • Support the onboarding process by ensuring all documentation and verifications are completed accurately and on time.

Non-Active Recruiting

  • Proactively build and maintain a pipeline of qualified candidates for future openings.
  • Keep organized digital and physical folders of viable applicants for rapid deployment when new positions arise.

· Collaborate with the HR Manager and Vice President to establish clear hiring parameters and applicant standards , ensuring all recruiting efforts align with company goals, compliance requirements, and culture fit expectations.

Administrative & Compliance

  • Maintain E-Verify compliance for all new hires.
  • File, store, and manage all employment-related documentation in accordance with company policy.
  • Shred unneeded or outdated documents securely to maintain confidentiality.
 

Qualifications

  • Proven experience in recruiting, talent acquisition, or HR coordination (janitorial or service industry experience preferred).
  • Proficiency with Team Engine ,
  • indeed , and Excel (or similar applicant tracking and data tools).
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills with a customer-service mindset.
  • Ability to work independently and maintain high responsiveness.
  • Understanding of E-Verify and hiring compliance standards.
