Job Description

We are looking for someone who is collaborative and friendly to become our Dental Office Manager. As a part of our team, you will be in charge of maintaining staff schedules, supplies, resources, customer service control, and cash flow. Following up with patients, providing leadership, and motivating the team should naturally come to you. Our ideal candidate has excellent interpersonal skills and attention to detail, and holds a bachelor’s degree in human resources or business administration.

Dental Office Manager Duties & Responsibilities:

  • Oversee daily operations of the dental office, ensuring a smooth and efficient workflow.
  • Manage appointment scheduling to optimize patient flow and minimize wait times.
  • Supervise and train office staff, including receptionists, billing specialists, and dental assistants.
  • Monitor inventory levels and order dental supplies as needed.
  • Handle patient inquiries, complaints, and conflict resolution in a professional manner.
  • Maintain patient records, ensuring compliance with HIPAA and other regulatory standards.
  • Oversee billing processes, insurance claims, and accounts receivable to ensure accurate financial management.
  • Develop and implement office policies and procedures to improve efficiency and productivity.
  • Coordinate marketing initiatives to promote the dental practice and attract new patients.
  • Liaise between dentists, staff, and patients to ensure clear communication and effective teamwork.
  • Monitor and report office performance metrics to the dental practice owner.
  • Ensure the dental office adheres to health and safety regulations.

Dental Office Manager Requirements:

  • Proven experience as a Dental Office Manager or in a similar administrative role in a dental or healthcare setting.
  • Strong knowledge of dental terminology, procedures, and insurance processes.
  • Proficiency in dental office management software Open Dental and Microsoft Office Suite.
  • Excellent organizational and multitasking abilities to manage a dynamic office environment.
  • Strong leadership and team management skills to supervise staff effectively.
  • Exceptional communication and interpersonal skills to interact with patients, staff, and dental providers.
  • Familiarity with HIPAA and other regulatory compliance requirements.
  • Solid understanding of billing processes, insurance claims, and accounts management.
  • Ability to handle confidential information with discretion and professionalism.
  • High school diploma or equivalent; additional education in office management or a related field is a plus.
  • Certification in dental office management (e.g., AADOM) is preferred, but not required.
